When you create custom workflow templates from scratch, you sequence default and custom tasks in an order that suits your localization needs. If you do not want to create a custom workflow template from scratch, you can reuse (copy) either a default or a custom workflow template to create a brand new custom workflow template.

  1. Log in to Trados Enterprise (by accessing this link: http://languagecloud.sdl.com/lc).
  2. Go to the Resources view.
  3. Select the Workflows tab.
  4. Select Workflow Templates.
  5. Select New Workflow Template.
  6. Specify the workflow template details:
    1. Under Name, enter the name for the new task.
    2. Under Location, select the folder where your workflow template is stored.
    3. Under Description, enter information about the reason for or context where the template is used.
  7. Add the phases:
    • To add a phase, select + Add another phase, enter your phase name, and press Enter.
    • To edit a phase name, double click the phase column header, hit the Delete key, and then edit the name of the phase.
    • You can only delete the last phase of your custom workflow template, by selecting . You can then delete the other phases as well. Note that you cannot delete phases which already include tasks.
    Your workflow phases are now ordered as columns.
  8. Add the tasks:
    1. Select add custom task button, and then choose your tasks from either the Human Tasks or Automated Tasks lists. If needed, filter the tasks. The default filtering strategy is Current folder and above, but you can also select Current folder only.
    2. Automated tasks - After you add several Automated tasks, the Automated Tasks list will display either (new) or (existing) after the name of Automated tasks.
      • If you select [automated_task_name] (existing), the transition takes you back to an existing task (a task you already have in your workflow).
      • If you select [automated_task_name] (new), the transition takes you to a new task of the same type as the one you are selecting.
    3. Human tasks - After you add several Human tasks, the Human Tasks list will display either (new) or (existing) after the name of Human tasks.
      • If you select [human_task_name] (existing), the transition takes you back to an existing task (a task you already have in your workflow).
      • If you select [human_task_name] (new), the transition takes you to a new task of the same type as the one you are selecting.
    4. To change the name of a task, select the task name, select inline edit for task names, and edit the name. If you edit the task name, the task type name is displayed, so that you remember the task type while editing the workflow template.
    5. When you finished adding all the workflow tasks, you can drag them in the phases they belong to if they are too cluttered. Press and hold on a task and drag it to the right phase.
    6. Configure the tasks to determine whether they are mandatory or not. You must perform this operation for each task:
      1. Identify the task of interest and select Configure.
      2. In the Configure [task_name] right-hand-side panel:
        • Select Enabled by default, but excludable, if, when configuring your workflow, project template, or project, you want to see the task enabled by default, but also have the possibility to disable it at will.
        • Select Excluded by default, but can be enabled, if, when configuring your workflow, project template or project, you want to see the task disabled by default, but also have the possibility to enable it at will.
        • Select Cannot be excluded, if the task is mandatory in your workflow, project template or project.
        • Select Vendor enabled, if you want to assign vendor users to the tasks during workflow configuration. This option is available for the following task types: Project Planning, Translation, Linguistic Review, Implement Customer Review, and Engineering.
      3. Select Save configurations.
  9. For the Translation task and Implement Customer Review task, you need to specify the configuration. Select Configure and Assign Task, select a target language, and then select Linguistic Review configuration button. In the Configure_[target_name] right-hand-side pane, under Revision mode, select a configuration, and then select Save Configurations. Repeat the process for all the target languages of the Translation task and the Implement Customer Review task. To understand what each Translation configuration does, check this topic.   10. For the Linguistic Review task and the Customer Review task, you need to specify the configuration. Select Configure and Assign Task, select a target language, and then select Linguistic Review configuration button. In the Configure_[target_name] right-hand-side pane, under Review mode, select a configuration, and then select Save Configurations. Repeat the process for all the target languages of the Linguistic Review task and the Customer Review task. You can choose the same configuration for all target languages or a different configuration for each target language. To understand what each Linguistic Review configuration does, check this topic.   11. If your workflow includes both a Translation and a Linguistic Review task, make sure you correlate configurations correctly. Check this topic for more details.
  12. If your workflow includes both a Customer Review and an Implement Customer Review task, make sure you correlate configurations correctly. Check this topic for more details.
  13. For the Hold for Feedback task, you need to specify the number of days after which the task is closed automatically with the status Elapsed. Select Configure and Assign Task, and then select Linguistic Review configuration button. In the Configure_[target_name] right-hand-side pane, under Close after (days) specify the number of days after which the task is closed automatically. The Close after (days) field has the default value of 90 days, and can have a minimum value of 1 day, and a maximum value of 365 days. The Hold for Feedback can be completed manually, but if it is not, automatic completion happens after the days specified in the Close after (days) field elapse.
  14. For the Automated Translation QA Check task and the Automated Linguistic Review QA Check task, you can configure the number of times the QA check loop runs if it encounters errors. If errors are detected during these tasks, the file goes back to the previous task (either Translation, or Linguistic Review) for corrections. By default, these automated tasks run once. To increase the number of times that these automated tasks must run, identify the task, select Configure, and under Number of QA Check returns, enter a value higher than 1. Select Save configurations.
    • If you enter the 0 value in the Number of QA Check returns field, then the Automated QA Check task runs once, but does not return the task back to Translation or Linguistic Review even if errors are detected.
    • If you enter a value equal to or higher than 1 in the Number of QA Check returns field, then the Automated QA Check task runs as many times as specified, and returns the task back to Translation or Linguistic Review if errors are detected.
    • If you select the Return until no QA Check errors check box, the Automated QA Check task runs as long as errors are found, irrespective of the number specified in the Number of QA Check returns field.
  15. If you made a mistake or change your mind, and you want to delete a task, identify the task and select . Make sure you link the orphan tasks back into the overall flow.
    For example, consider that you deleted a task, and you have this situation:delete task warning for orphan taskYou now want to add the Copy Source to Target task between File Format Conversion and Translation Memory Matching. Select add custom task button, add Copy Source to Target:add task between oter tasksNow, you need to select add custom task button and select Translation Memory Matching again (the same task marked with a warning sign). Your tasks are connected once again.
  16. If you want to add a task between 2 other tasks, hover over the transition, until add custom task button appears. Add the missing task and connect it to the next task. The process is similar to that at point 9 above.
  17. Add the END block wherever necessary and do not forget to have an END block after your last workflow task.
  18. Do one of the following:
    • If you want to save your changes, edit and activate the workflow template later on, select Save. Your project status is DRAFT.
    • If you do not want to edit the workflow template later one, select Save & Activate. Your project status is READY and you cannot edit it anymore. Only workflow templates which have the READY status can be used to create workflows. The maximum number of custom workflow templates you can activate depends on your subscription.
