Assigning users and groups to workflow tasks

You can assign users and groups to workflow tasks. Once the workflow reaches that particular task, the users assigned to it automatically receive a task in their Inbox and can start working.

Procedure

  1. Log in to Trados Team by accessing this link: https://cloud.trados.com.
  2. Go to the Resources view.
  3. Select the Workflows tab.
  4. Do one of the following:
    • Select New Workflow, configure the workflow and assign users.
    • Select an existing workflow and assign users.
  5. Assign users and groups:
    1. Verify that the workflow tasks align with your process requirements.
      To exclude a step from a stage, hover over the step, and then select the Exclude this task check box.
    2. Under Dynamic assignment, select an option to specify which users in the assigned group receive the assignment notification.
      • Basic - the assignment notification is sent to all users
      • Service type - the assignment notification is sent to all users who have matching service types
      • Service type and language pairs - the assignment notification is sent to all users who have matching service types and languages
    3. For each Human task, select Assign task. The target languages of each Human task are ordered alphabetically. Invalid assignments are marked by a warning.
    4. Click Select assignees, and then choose the individual users (Users) or groups (Groups) to assign them to that task. When you perform the assignments, use the available filters (Current folder and above, Current folder only) to ensure that you identify and assign users easily.
    5. If you want to assign groups to tasks, the system returns all groups which have a maximum of 100 users for selection. If you select several groups to assign them to the same task, and the total number of users in these groups exceeds 100 users, the system issues a warning that you must adjust your selected assignees and groups before you can save the workflow.
    6. To apply the same assignees across all the target languages under a source language, hover over a target language, go to the end of the row, and select menu with three horizontal dots > Apply Assignees to all target languages from this source language.
    7. To apply the same assignees across all languages, hover over a target language, go to the end of the row, and select menu with three horizontal dots > Apply Assignees to all languages. This feature is useful in contexts where you configure workflows with multiple source languages.
    8. To apply the assignees of one target language across all target languages irrespective of the source languages, hover over a target language, go to the end of the row, and select menu with three horizontal dots > Apply Assignees for this target language in all available source languages. This feature is useful in contexts where you configure workflows with multiple source languages.
  6. Select Save.
